Parade and fireworks Minutes 1-16-25

Attendance: Stefani Hartsfield, Chris Jenkins, Sue Glennon, Amanda Cobb, Jay Furr, Julie Wahlin, Rebecca Roose

Meeting called to order at 7:00

• Approve Minutes- Sue motioned to approve, all in favor to approve.
• Follow up on action items from the previous meeting
  • Coin Drop Logistics - May 24, 2025 Everything is set. Sue checked in with Linda Parent. Waiting for Vermont League of Cities and towns to approve insurance for it.
    • Question about time of coin drop. 8:00 a.m. - 2:00 p.m. agreed
    • Shifts should be shorter. 3 hours is too long.
  • Finance tracking - Rebecca to contact Connie, balance and account printout of what went in and out for past 2 years 
  • Promotion of Theme: Heroes, post on FB, Richmond Community Locals FB page & FPF
  • Fry Trailer(selling process, emptying) - called Pete at Town. Need 2 people to help move out items of trailer. We need to sell the fryers. 
• Request from Chief - Received an email from Linda Parent that Chief Cambridge would like to talk to the committee about possible conflicts with police staffing for the parade. Julie sent an email inviting the Chief to this meeting and did not receive a response.
• Town Meeting Report Submitted to Linda
  • Town Meeting Day, March 4th - Table with 4th of July information
  • Do we need a promotional flyer by Town meeting day?
• Vendor Sign Up 
  • Vendor Sign Up form and rates    
    • 2024 Vendor Rates: $100 For-profit, $25 Non-profit
      • Promote early before vendors commit to other events
    • 2025:  Keep same rates a 2024
      • Stefani motioned to keep the fees the same
      • Sue 2nd
      • All approved
    • Draft vendor sign up form
      • Add line that says “Vendors may not arrive earlier than 6:00 a.m.”
      • Morning shift: 7:30-2:00
      • Evening shift: 4:00 - 9:00
    • Stefani will send edits to Duncan and ask him to post.
  • Vendor Marketing
    • Rebecca and Stefani will work on a digital design with DH
      • Car show hours for public flyer
    • Post on vermonttogotour on facebook page
  • Open to public - no one here. 
  • Julie motion to close the meeting, Amanda 2nd. All in favor.
