Sue called the meeting to order
Present: Sue, Amanda, Justin, Stefani, Chris, Julie
Zoom: Susanne Parent, Our Community Cares Camp
Agenda
- Approve Minutes
- Sue Motioned to approve the minutes from the last meeting. Justin seconded. All in favor. Minutes approved.
- Our Community Cares Camp
- Proposal from OCCC: To fundraise at the 4th of July event for Our Community Cares Camp.
- Tables would be a flea market/farmer’s market, buy a spot to sell items.
- Food trucks would compete with the 4th of July fundraising
- Sue suggested Bingo. People have asked for that back but the capacity to bring that back.
- Stefani requested that if OCCC does fundraise at the event that someone from OCCC attend the 4th of July committee meetings.
- Justin motions, all in favor for OCCC to fundraise at the 4th of July event.
- Vendor Sign Up form live!
- Amanda noted that the question requesting “proof of insurance” for the for profit vendors is missing.
- Typo on another line. “Checks are payable to the Town of Richmond.t Duncan”
- Stone Corral vendor question
- They want to participate in the day and want to know if alcohol can be sold. The town does not allow alcohol to be sold in the volunteer green.
- Sue will reach out to Stone Corral to discuss being a food vendor/chicken BBQ.
- 2025 Parade sign up form review
- Reviewed and edited the parade participation sign up form
- Stefani will send to Duncan to post on the website
- Sue will request official judging criteria from Heidi to include in the sign up confirmation email.
- Flyover Request - Amanda motions, Chris seconds, all in favor.
- Inventory Supply Closet
- Stefani asked Susanne Parent what is the best way to inventory the supply closets.
- Susanne stated that she and Linda Parent are planning to go through the 3 closets at the town center and organize and label the contents.
- The committee is very appreciative of these efforts. Amanda let Susanne know that she is available to come to the town center when needed to help with the organization if needed.
- Took time to introduce everyone to Susanne as the new Town Clerk and she introduced herself.
- Finance Update
- Balance received from Connie
- Julie reviewed with the committee
- Budget looks in order.
- Sue wanted to note that Conant’s farm always donates their winnings back to the 4th of July
- Review sponsorship levels sent by Rebecca so that they can be sent to potential sponsors. Julie motions to accept sponsorship, Amanda seconds, all in favor.
- Fry Trailer (selling process, emptying) - A person expressed interest in buying it all. Sue talked to Josh to ask about the process of selling. He says we need to have 3 bids. We propose a starting bid at $2,000. Stefani motions to set a minimum bid at $2,000. Amanda seconds, all in favor. Stefani will follow up with Josh.
